Booking Terms & Conditions
Effective Date: July 2026
These Terms and Conditions govern all bookings made with Everest Golf ("Everest Golf", "we", "our", or "us"). By making a booking, you agree to be bound by these Terms and Conditions.
1. Definitions
In these Terms and Conditions of Trade:
"Booking" or "Bookings" means the reservation or reservations and subsequent amendments, if any, made by Everest Golf on behalf of its Customer or Customers.
"Customer or Guest" means the person or entity making Bookings through Everest Golf.
"Itinerary Receipt" means the travel document or travel documents issued by Everest Golf to Customers upon receipt of payment from the Customer to Everest Golf, which contains information including but not limited to the Customer's name, booking information and further notices relevant to the booking.
"Everest Golf" means Everest Golf NZ Limited.
"Provider" means the third-party provider of services for the Customer arranged by Everest Golf. This can include, but is not limited to, flights and transport, accommodations, golf courses, excursions and tourist activities, and restaurants.
2. Booking Confirmation & Acceptance
Quotations are valid for a period of 14 days, as accommodation, exchange rates, and tee times may change before a booking is confirmed.
A booking is confirmed once:
- Your Personalised Everest Golf Itinerary has been received, known as an Itinerary Receipt; and/or
- The required deposit has been paid; and/or
- Written confirmation has been issued by Everest Golf.
All bookings are subject to availability.
3. Deposit & Payment
- A non-refundable deposit of 25% of the total tour price is required to secure your reservation.
- Final payment is due 90 days prior to departure unless otherwise advised.
- Bookings made within 90 days of departure require full payment at the time of booking.
Failure to make payments by the due date may result in cancellation of your booking. On confirmation of the booking by the Customer to Everest Golf, the Customer is liable to pay Everest Golf for the full cost of the Booking.
Unless otherwise specified, payment for all Bookings shall be made by credit card or bank deposit prior to the Customer receiving confirmation of the Booking from Everest Golf.
Should payment not be received by Everest Golf by the due date, or a payment be dishonoured, Everest Golf reserves the right to cancel or not confirm the Booking.
Everest Golf may, at its sole discretion, require payment of a deposit by the Customer prior to processing.
The Customer warrants they are the cardholder of the credit card used for payment and that they have sufficient credit on their credit card to meet all charges associated with the Booking.
4. Pricing
All prices are quoted in United States Dollars (USD) unless otherwise stated.
Prices are based on supplier costs, exchange rates, taxes and fees applicable at the time of publication. Everest Golf reserves the right to adjust pricing before the final payment if significant supplier, exchange rate, government charges, or another direct related cost changes.
Prices do not include (unless otherwise specified in writing) extras such as, but not limited to, meals, travel insurance, flights, excursions and optional extras.
The Customer acknowledges that the amount charged to their credit card, or paid by international bank transfer to Everest Golf, is subject to currency fluctuations and will be charged at the exchange rate at the time payment is made to Everest Golf.
5. Quotation
Where a quotation is given by Everest Golf for the Bookings, Everest Golf reserves the right to alter the quotation because of circumstances beyond its control at any time up to payment for the Bookings by the Customer and confirmation by the Provider.
Accommodation choices may not be available due to seasonal demand and, in the case of Luxury Lodges, room availability is often less than 5 rooms, so while we will use best endeavours to provide the accommodations you request, alternatives of a similar standard may have to be used, and in some cases a lesser standard of accommodation. The final price will reflect the final bookings made by Everest Golf considering all these variables.
6. Cancellations by the Traveller
All cancellation requests must be submitted in writing.
Cancellation charges apply as follows:
- More than 120 days before departure – 75% of deposit.
- 31 to 119 days – 100% of deposit.
- Less than 30 days – 100% of deposit and 50% of the total price.
Certain golf courses, luxury lodges or third-party suppliers may impose stricter cancellation policies, which will apply where applicable.
Please note that bookings that provide accommodation at luxury lodges, including but not limited to Kauri Cliffs, Huka Lodge, The Farm at Cape Kidnappers and Matakauri Lodge, are subject to the following cancellation policies:
Luxury Lodge Cancellation Policy
- Outside 91 days prior: 25% of the total accommodation cost.
- 90 – 76 days prior: 50% of the total accommodation cost.
- Inside 75 days prior: 100% of the total accommodation cost.
Cancellation from 1 September to date of arrival incurs 100% charge for the room nights cancelled. We strongly recommend that you take out travel insurance, including cancellation insurance. Everest Golf reserves the right to cancel tours at any time. In such event Everest Golf will return all monies paid or offer an alternative tour. Everest Golf is not liable for any penalty charges associated with connecting air fares, in the event of a change to a tour departure time, date or cancellation.
7. Itinerary Receipt
Unless otherwise specified, Everest Golf will send a Confirmed Itinerary to the Customer within twenty working days of receipt of the deposit.
Any discrepancy between the Confirmed Itinerary and the Customer's intended Booking must be made known by the Customer to Everest Golf within 5 working days of the Customer's receipt of the Confirmed Itinerary.
8. Changes to Bookings
Requests to amend confirmed bookings should be done in writing and are subject to availability and may incur supplier amendment fees and administration charges.
Everest Golf cannot guarantee requested changes after confirmation. Everest Golf shall make every reasonable effort to accommodate the Customer's amendments after the Itinerary Receipt has been provided to the Customer.
9. Included & Excluded Services
All Everest Golf Tours are designed with your input and include only the services and accommodations, courses and internal travel within New Zealand that you have specified in your personalised Everest Golf Itinerary. Typical inclusions and exclusions are outlined below, and vary according to your personalised Everest Golf Itinerary, but can include and exclude:
Included
- Accommodation
- Green fees
- Airport transfers
- Internal domestic flights (if applicable)
- Selected dinners
- Everest Golf host
Not Included
- International airfare
- Travel insurance
- Alcohol unless stated
- Caddie hire
- Caddie gratuities
- Club hire
- Personal purchases
- Visa fees
- Laundry
- Spa treatments
- Gratuities
10. Travel Insurance
Comprehensive travel insurance is strongly recommended and should include:
- Trip cancellation
- Medical expenses
- Emergency evacuation
- Golf equipment
- Personal liability
- Lost baggage
- Travel delays and flight disruptions
Everest Golf accepts no responsibility for losses that would otherwise have been covered by travel insurance.
11. Passport, Visa & Entry Requirements
Customers are responsible for ensuring they possess:
- A valid passport.
- Any required visas or electronic travel authorisations.
- All required travel documentation.
Entry requirements may change without notice. Please refer to the New Zealand Government immigration website for current requirements.
12. Health & Fitness
Golf tours involve walking, travel between destinations and participation in outdoor activities. Guests are responsible for ensuring they are medically fit to travel and participate. While most courses accept play in golf carts, Te Arai Links North and South Courses have a 100% walk-only policy. There are no carts available, even with a Medical Exemption or Certificate. Caddies are available as an alternative to carts, as are push/pull trolleys.
Any and all medical conditions, allergies, mobility limitations or dietary requirements should be disclosed prior to travel.
13. Golf Courses
Golf tee times are reserved in advance. While every effort is made to secure preferred tee times, they cannot be guaranteed.
Occasionally golf courses may:
- Alter tee times.
- Be affected by tournament schedules (such as the NZ Golf Open).
- Close due to weather.
- Undertake maintenance.
- Alter course conditions.
- Restrict cart availability – note there is no use of carts at Te Arai Links North or South Course, even with a Medical Exemption or Certificate.
Everest Golf will endeavour to provide suitable alternatives but cannot guarantee replacement rounds. Everest Golf reserves the right to substitute a comparable course if necessary.
14. Accommodation
Accommodation is based on room availability and the confirmed itinerary. Hotels and lodges reserve the right to substitute similar room categories where necessary.
15. Itinerary Changes
While every effort is made to operate tours as advertised, Everest Golf reserves the right to modify the following when circumstances beyond our control require:
- Golf courses
- Accommodation
- Transport
- Dining venues
- Tour schedule
Comparable alternatives will be provided wherever possible.
16. Transport Responsibility
All transport providers within New Zealand are separate providers. Everest Golf is not liable for:
- Missed connections
- Baggage delays
- Schedule changes
- Airline or local transport insolvency
We strongly recommend individual travel insurance to cover these circumstances.
17. Golf Equipment
Customers are responsible for ensuring golf clubs comply with airline baggage requirements.
Everest Golf is not responsible for:
- Delayed clubs
- Damaged clubs
- Airline (local and international) baggage handling
- Local travel provider and third-party baggage handling
Travel insurance covering golf equipment is strongly recommended.
18. Force Majeure
Everest Golf shall not be liable for cancellation, delays or changes resulting from circumstances beyond our reasonable control, including but not limited to:
- Severe weather
- Natural disasters
- Pandemics
- Government restrictions
- Airline disruptions
- Industrial action
- Civil unrest
- Acts of terrorism
- Earthquakes
- Volcanic activity
- Flooding
- Government border closures
- War
- Cyber attacks affecting suppliers
19. Limitation of Liability
Everest Golf acts as an intermediary between travellers and independent suppliers including golf courses, accommodation providers, airlines and transport operators.
We are not liable for the acts, omissions or defaults of third-party suppliers.
Our liability is limited to the amount paid directly to Everest Golf for the affected services, except where prohibited by law.
Everest Golf is not liable for:
- Injury during golf
- Vehicle accidents
- Adventure activities
- Lost property
- Supplier insolvency
- Missed flights or transport delays and resulting missed connections
- Weather interruptions
Except as otherwise provided above, Everest Golf shall not be liable for any injury, death, loss, damage, delay, additional expense or inconvenience of any kind whatsoever, arising from a Booking by Everest Golf to the Customer including consequential loss whether suffered or incurred by the Customer or another person and whether in contract or tort (including negligence) or otherwise, and irrespective of whether such loss or damage arises directly or indirectly from a Booking provided by Everest Golf to the Customer.
The Customer shall indemnify Everest Golf against all claims and loss of any kind whatsoever made by the Customer or any other third party however caused or arising and, without limiting the generality of the foregoing of this clause, whether caused or arising as a result of the negligence of Everest Golf or otherwise, brought by any person in connection with any matter, act, omission, or error by Everest Golf, its agents or employees in connection with a Booking.
The Customer acknowledges that Everest Golf is acting as an intermediary for bookings between the Customer and local Providers. Everest Golf is not liable to the Customer for any failure, delay or omission on the part of a Provider in providing the Booking to the Customer.
20. Assumption of Risk
Golf and outdoor activities involve inherent risks. Everest Golf may facilitate Customers to partake in activities provided by third parties, but the burden of risk lies solely with the Customer who chooses to voluntarily participate in these activities, and accepts responsibility for any injury, loss or damage arising from participation, including but not limited to:
- Helicopters
- Boating
- Fishing
- Hiking
- Wineries
- Remote lodges
21. Behaviour
Everest Golf reserves the right to refuse participation or remove any traveller whose behaviour is disruptive, unsafe, abusive or illegal.
Everest Golf tours often include wine tastings and dinners. Guests and Customers are responsible for their own conduct after consuming alcohol.
No refund will be provided in circumstances where a provider refuses to serve guests.
22. Photography & Marketing
Everest Golf may take photographs or video during tours for promotional purposes.
Guests who do not wish to appear in promotional material should notify Everest Golf in writing prior to departure.
23. Intellectual Property
Everest Golf owns all itineraries, tour designs, photography and website content. This information remains the property of Everest Golf and shall not be shared by Customers and Guests.
24. Privacy
Personal information is collected solely for the purpose of arranging your travel and will be handled in accordance with the New Zealand Privacy Act 2020.
Information may be shared with suppliers where necessary to deliver your travel arrangements.
25. Governing Law
These Terms and Conditions are governed by the laws of New Zealand. Any disputes shall be subject to the exclusive jurisdiction of the courts of New Zealand.
26. Complaints Procedure
In the unlikely event of a complaint, these should be directed to Everest Golf immediately, or during a tour, so issues can be addressed.
27. Warranties
Unless otherwise specified, where the Consumer Guarantees Act 1993 applies the Customer shall have all the rights and remedies provided under this Act but no others.
In the event that the Customer is dissatisfied with the quality of the services booked by Everest Golf, Everest Golf will discuss the matter with the provider in an attempt to resolve the matter to the satisfaction of all parties. However, if no resolution is reached, payment will be made by Everest Golf to the Provider for the Booking and the Customer shall pursue any claim directly with the provider.
28. Errors or Omissions
Clerical errors or omissions, whether in computation or otherwise in the quotation, acknowledgement or Confirmed Itinerary, shall be subject to correction. Everest Golf is not financially liable for any errors or omissions.
29. Changes of General Terms and Conditions
Everest Golf may at any time refuse a Booking by the Customer for any reason whatsoever. Failure by Everest Golf to enforce any of the terms and conditions contained in these Terms and Conditions of Trade shall not be deemed to be a waiver of any of the rights or obligations Everest Golf has under these Terms and Conditions of Trade.
30. Assignment
The Customer shall not assign all or any rights or obligations under these Terms and Conditions of Trade without the written consent of Everest Golf.
Everest Golf is entitled to assign or subcontract to any other party all or any part of the work which is to be performed under any contract.
